We have a vacancy for a conveyancing secretary to cover maternity leave at our office in Newport.

Full or part-time hours considered. The successful applicant will have experience of working in the property department of a busy solicitors’ office. A full job description can be found below.

Role

The prime role of the legal secretary is to provide direct support to his/her principal to enable the principal to operate at optimum efficiency. This will include but will not be limited to the main responsibilities given below. The legal secretary is expected to use a high degree of self-management and initiative.  All members of staff are expected to treat both clients and colleagues with respect.

Main responsibilities

1. Prepare correspondence and documents through audio-typing and word processing.

2. Administer filing which will include daily filing and the opening, closing, storage and retrieval of client files in accordance with the detailed procedures contained in the Office Manual.

3. Prepare mail and enclosures for despatch.

4. Arrange for all copying to be done, in person if the office junior is not available to undertake the task.

5. Make appointments, arrange meetings and to maintain an up-to-date diary for his/her principal.

6. Prepare the Conference Room for meetings as necessary and for the tidying and clearance of the room at the end of the meeting.

7. Provide refreshments when asked to do so.

8. Provide support to other secretaries as required.

9. Provide guidance to junior and temporary secretaries when required to do so.

10. Attend clients both in person and on the telephone and to provide such support in a professional and friendly manner in keeping with the practice’s standards for client care.

11. Undertake any specific training when required to do so and overall to have a responsibility towards self-development.

12. Comply with the firm’s systems and processes to ensure compliance with legal and regulatory requirements and responsibilities.

13. To ensure the confidentiality of all the practice’s and clients’ documentation and information.

14. All other administrative duties required commensurate with the role of a legal secretary.

15. Assist in Reception and answer the telephone when necessary because of lack of staff (i.e. due to sickness etc.)
